Privacy Policy

1. Who We Are

FlareForge is a revenue operations platform for aviation asset professionals, operated by Studio Launch Ltd, a company registered in England and Wales (Company No. 16430935). Our registered office is at Twelve Quays House, Egerton Wharf, Wirral, CH41 1LD.

2. What Data We Collect

Account data

When you sign up, we collect your name, email address, company name, and a hashed password. We do not store your password in plain text.

Billing data

Payments are processed by Stripe. We do not store your card details. Stripe provides us with a token, subscription status, and transaction records. Stripe’s privacy policy governs how they handle payment data.

Usage data

We collect information about how you use FlareForge — pages visited, features used, deal records created, and actions taken. This helps us improve the platform and support you effectively.

Email and calendar data

If you connect a Gmail or IMAP email account, we access email threads associated with your contacts to display them inside FlareForge. If you connect Google Calendar, we read your calendar events to display them on your dashboard. We do not store the full content of emails on our servers beyond what is needed to display them to you. IMAP passwords are stored using AES-256-GCM encryption.

AI-generated content

When you use AI features (briefings, outreach drafts, deal suggestions), your deal and contact data is sent to OpenAI’s API to generate responses. We do not use your data to train AI models. OpenAI’s data usage policy applies to API interactions.

Communications

We collect your email address to send you product emails — trial updates, digest emails, critical date alerts, and account notifications. You can adjust notification preferences in your account settings.

3. How We Use Your Data

  • To provide and operate the FlareForge platform
  • To process payments and manage your subscription
  • To send you product emails and account notifications
  • To generate AI-powered features using your deal and contact context
  • To improve and develop the platform
  • To respond to support requests
  • To comply with legal obligations

4. Legal Basis for Processing

We process your data on the following legal bases:

  • Contract — processing necessary to provide the service you signed up for
  • Legitimate interests — improving the platform, fraud prevention, and security
  • Consent — where you have explicitly agreed, such as connecting email or calendar accounts
  • Legal obligation — where required by law

5. Data Sharing

We do not sell your personal data. We share it only with the following third parties as necessary to operate the service:

  • Stripe — payment processing
  • OpenAI — AI feature generation via API
  • Brevo (Sendinblue) — transactional email delivery
  • Google — Gmail and Google Calendar OAuth integration (only if you connect these)

All third parties are required to handle your data in accordance with applicable data protection law.

6. Data Retention

We retain your data for as long as your account is active. If you close your account, we will delete your personal data within 30 days, except where we are required to retain it for legal or financial compliance purposes.

7. Your Rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Object to or restrict processing
  • Data portability
  • Withdraw consent where processing is based on consent

You also have the right to lodge a complaint with the Information Commissioner’s Office (ICO) at ico.org.uk.

8. Security

We take reasonable technical and organisational measures to protect your data. This includes bcrypt password hashing, AES-256-GCM encryption for stored credentials, HTTPS-only access, and access controls limiting who can view your data within our team.

9. Changes to This Policy

We may update this policy from time to time. When we make material changes, we will notify you by email or by a notice in the platform. Continued use of FlareForge after changes constitutes acceptance of the updated policy.
